The HR Administrator is responsible for providing administrative and project support to the Human Resources Department, while assisting with employee inquiries.
Reports to: Assistant Director, Employee Relations
Location: 305 7th Avenue, New York, NY 10001
Hours: 35 Hours/Week; Non-Exempt
Salary: $50,000-$55,000/Year
Major Duties:
- Manage Learning to Work (LTW) onboarding by ensuring completion and accuracy of all incoming information via Clear Co; processing LTW new hire, rehire and terminations; and by serving as the main point of contact to Internship Coordinators
- Responsible for scheduling candidates for required pre-employment clearances, and monitor clearance databases to ensure candidates are fully cleared prior to the start of employment
- Prepare monthly clearance reports and maintain various funder and/or government clearance databases; enter clearance information in ADP system
- Process monthly ADP reports to be sent or uploaded for Medicaid, SSDI, SOR and PETS review.
- Review monthly professional licenses for expiration dates and follow up as necessary.
- Review out of state residency in past five years for residential program hires/rehire and transfers and process necessary out-of-state forms required under The Family First Prevention Services Act.
- Assist with reconciling credit card statements for Finance Department
- Provide backup coverage for HRIS Analyst
- Provide lunch coverage for reception desk 1x per week
- Assist with agency audits by preparing personnel files and ensure all necessary documents are on hand
- Schedule annual TB/Medical clearances based on program requirements
- Provide administrative and project support to the Human Resources Department, including but not limited to creating GSS Employment ID’s, photocopying, data-entry, distribution of departmental mail, placing orders and provide backup coverage to verify I9 documentation
- Act as liaison to Facilities, Purchasing and IT departments regarding equipment, repairs and supply order purchases
- Perform other duties as assigned
Qualifications:
- Bachelor’s degree preferred; High School Diploma Required
- Prior Human Resources experience required
- Knowledge of ADP and Clear Co is preferred
- Proficiency in Microsoft Word, Excel and PowerPoint
- Excellent spelling and grammar skills; familiarity with business protocols
- Attention to detail and outstanding organization skills
- Strong interpersonal skills
- Customer service sensibility
- Versatility to handle varied workload and competing demands
