Impact and Evaluation Coordinator

Department: Impact & Evaluation
Location: New York, NY

The I&E Coordinator will provide administrative support for the Impact and Evaluation department which is responsible for managing government contract implementation and compliance, data management, and continuous quality improvement practices for GSS’s Community-Based and Supportive Housing programs.

While this position will primarily support the work of the CBSH team within I&E, support with department-wide responsibilities may also be called for.

  • Location: 305 7th Ave, 5th Floor, New York, NY 10001
  • Hours: 35 Hours/Week; Non-Exempt Job Summary:
  • Salary: $53,000-$57,000/Year

Major Duties:

ADMINISTRATIVE SUPPORT – IMPACT & EVALUATION WORKFLOWS

  • Maintain organized filing system and continually file key documents and communications with funders
  • Assist with scheduling, agenda preparation and note-taking for internal and external meetings
  • Provide office management/administrative support such as photocopying, scanning/saving electronic files, faxing, mail merges, ordering supplies, providing once-a-week phone reception for the agency, etc.
  • Manage deliverable and reporting schedule (“deadlines chart”); set and send regular reminders to program, fiscal and other staff and follow up as needed to meet deadlines

ADMINISTRATIVE SUPPORT – CONTRACT MANAGEMENT

  • Prepare, process, manage and submit all procurement and compliance documents for existing government grants/contracts, and those pending renewal or amendment, including subcontracts
  • Distribute contract documents to appropriate agency staff to ensure timely delivery of critical contract/program information
  • Collaborate with I&E Government Contracts Implementation Manager and program staff to ensure timely submission of compliance documents and reports
  • Provide administrative assistance around program audits, including document coordination, confirmation and submission
  • Maintain city, state and federal government systems to ensure compliance and up to date information for the agency to contract with government partners

ADMINISTRATIVE SUPPORT – DATA Management / CQI

  • Perform data entry / data validation tasks in various systems, such as transfer of paper surveys to webforms, address confirmation, etc.
  • Support Program Analyst and Data Integrity Analyst in the creation and organization of constituent data reports
  • Submit reports to government funders and act as liaison to all GSS internal departments
  • Manage back-up documentation for reporting process

Qualifications:

  • BA degree preferred
  • One-year related experience and familiarity with office systems and procedures required
  • Proficient in Microsoft Office Suite required
  • Must be self-motivated, detail and deadline oriented with superb follow-up and prioritization skills
  • Must demonstrate ability to perform in a busy work environment during high volume periods
  • Must demonstrate professional writing skills
  • Proven ability to communicate with staff at all levels
  • Must have a commitment to work from a strength based and/or youth development perspective
  • Must be able to work independently and in as a team
  • Must possess the ability to build collaborative relationships across teams, departments and external stakeholders
  • Valid New York State Public Notary license a plus
