HR Administrator

Department: Human Resources
Location: New York, NY

Reports to: Assistant Director, Employee Relations

Location: 305 7th Avenue, New York, NY 10001

Hours: 35 Hours/Week; Non-Exempt

Major Duties:

  • Responsible for scheduling candidates for required pre-employment clearances, and monitor clearance databases to ensure candidates are fully cleared prior to the start of employment
  • Responsible for post hire clearance, data entry and follow up
  • Responsible for entering pre-employment and post- hire clearances in ADP system
  • Manage Learning to Work (LTW) onboarding by ensuring completion and accuracy of all incoming information via Clear Co; processing LTW new hire, rehire and terminations; and by serving as the main point of contact to Internship Coordinators
  • Schedule annual TB/Medical clearances based on program requirements
  • Prepare monthly clearance reports and maintaining various funder and/or government clearance databases
  • Assist with agency audits by preparing personnel files and verifying data as needed
  • Respond to employment verification requests as needed
  • Perform administrative tasks, including but not limited to creating GSS Employment ID’s, photocopying, data-entry, distribution of departmental mail, and provide backup coverage to verify I9 documentation
  • Provide administrative support to the Human Resources Department, which includes answering the HR Hotline, directing inquiries, resolving routine issues, and responding to general requests for information and materials
  • Process invoices and reconcile credit card/fingerprint receipts
  • Maintain HR calendar and utilize conference room calendar to schedule meetings
  • Act as liaison to Facilities, Purchasing and IT departments regarding equipment, repairs and supply order purchases
  • Provide backup coverage for HRIS Analyst
  • Provide lunch coverage for reception desk 1x per week
  • Assist in the coordination of HR-sponsored events including Staff Recognition Day
  • Assist with new staff training, benefits education/enrollment meetings and other department meetings
  • Perform other department or agency-related duties or special projects as directed

Qualifications:

  • High School Diploma required. Some College Preferred
  • Minimum 1-year hands on direct experience in a Human Resource role & department required
  • Must have some working knowledge of ADP
  • Must have experience with web-based Applicant Tracking Systems (Clear Co., exp, is a plus)
  • Proficiency in Microsoft Word, Excel and PowerPoint Required
  • Excellent written/verbal communication; Human Resource protocol familiarity required
  • Must be detail orientated with proven organization skills
  • Proven ability to collaborate with diverse teams and stake holders
  • Efficient in balancing diverse task and shifting priorities required.
