The Administrative Assistant will work as a member of the office support team. Assist program in various clerical and typing duties as assigned by the Administrative Manager.
Reports To: ADMINISTRATIVE MANAGER, FAMILY FOSTER CARE
Location: 7 West Burnside Avenue, Bronx, New York 10453
Hours: 35 Hours/Week, Non-Exempt (Position requires in office hours)
Salary: $45,000 - $50,000 Annually based on relevant experience
Major Duties:
- Reception/switchboard coverage, with rotation of schedules of 9:00-5:00, 11:00-7:00, and Saturdays.
- Assist the Administrative Manager and the Program Directors.
- Assist program staff in various clerical and typing duties.
- Ordering of metro cards for the program and the reconciliation.
- Responsible for entering the Progress Notes for the Saturday visits, updating the visitation list, preparing the family/child visitation forms.
- Responsible for the up keeping of the file room, the filing of the case records, and creating the file binders. Assemble binders with tabs opening sections for opening of new case records.
- Responsible to refill all printers and copiers. Responsible for the distribution and reconciliation of petty cash. - Responsible for scanning and shredding of the closed records.
- Responsible for the mail and the distribution of the interoffice mail. Responsible for keeping the vehicle’ paperwork, gas cards, and the list of the designated drivers.
- Reserved conference rooms, setup, and supplies needed.
- Check requests – prepare, log, and file.
- Other duties as assigned.
Qualifications:
- High School diploma or GED required.
- 2 years of experience as an administrative assistant
- Must have excellent written, verbal, and interpersonal and organizational skills.
- Bilingual English/Spanish preferred.
